Instead of Stacking CRM and POS Subscriptions, Investing in Your Own Website Can Make More Sense
CRM and POS subscription costs pile up every month without ever becoming yours. Here's a cost comparison against investing in your own website with SEO and live project tracking, a good fit for coating workshops and contractors.
Be honest for a second: how many tools are you paying for every month just to run your business day to day? A POS app, a CRM to track customers, maybe another one for scheduling or invoices. Each one looks cheap on its own, but stacked together they become a monthly burden that never actually becomes yours.
I get this question a lot from workshop owners and contractors: keep paying for the tools you already have, or invest in building your own website? In this article I compare the costs, using Pras Intelligence itself, the site you're reading right now, as the concrete example.
The problem: everything is a subscription, and it adds up
Just look at point-of-sale (POS) apps. Prices vary, but they all run monthly, per outlet:
- Qasir Pro: about Rp50,000 (around US$3) a month (billed at Rp600,000 a year), according to its official page.
- Majoo: Rp249,000 (about US$15) to Rp999,000 (about US$60) a month per outlet, according to its official price list.
And that's just the cash register. Add a CRM to manage customer data, or separate scheduling and invoicing tools, and the number easily crosses into the millions of rupiah a month. All of it rented, none of it owned. Stop paying, and access disappears, history included.
The approach: separate what should stay rented from what's worth owning
That doesn't mean every subscription is bad. A POS still makes sense for daily transactions. But there's one thing that often gets missed: the part that's actually the face of your business to customers and prospects makes more sense to own outright than to keep renting from someone else's platform.
- 1Audit your subscriptionsCheck which tools you're renting, and what for
- 2Separate the functionsWhat's transactional versus what's the face of your business to customers
- 3Build an owned assetA website with SEO and features that fit the business, not a generic template
- 4Maintain it, don't keep rentingThe only ongoing cost is hosting, not a per-outlet or per-seat fee
What you can borrow from Pras Intelligence
I built this site around the same two principles: it can be found on its own through Google, and customers can get the information they need without having to ask an admin over and over.
SEO foundations, not bolted on later
From the start, this site already has an automatic sitemap, a canonical URL on every page, structured data (JSON-LD), and hreflang for the Indonesian and English versions. None of this was added later, it's part of the structure from day one, so search engines and AI assistants can read the site correctly.

A CRM or a POS never shows up in Google search results, because that was never its job. A website you own can.
Customers can check their own project's progress
The Project Tracking feature on this site sends each client a single link, protected by a PIN. The client just opens that link to see the stage currently in progress, the completion percentage, a per-stage weekly timeline, and a log of recent updates, any time, without waiting for a WhatsApp reply, like what's shown on this article's cover.
Why this fits coating workshops and contractors so well
Businesses like coating workshops or contractors run on projects that take weeks: prep, execution, finishing, then quality check. The most common question from customers is always the same: "how far along is it?"
Up to now, the answer usually comes over the phone or WhatsApp, one customer at a time, with an admin having to check manually before replying. With something like the Project Tracker above, the customer just opens a link and sees everything they need right away, without keeping an admin busy answering the same question over and over.
Running the numbers
Monthly cost: software subscriptions vs hosting your own website(rupiah per month)
- Qasir Pro (POS)Rp50,000
- Majoo Starter (POS)Rp249,000
- Hosting your own websiteRp139,000
- Majoo Prime (POS)Rp999,000
To be honest about it: building a website still costs something upfront, it's not free. The difference is that once it's built, the ongoing cost is just hosting like above (covered in more depth in What Is a VPS for AI, and What Can It Actually Do?), not a per-outlet or per-seat fee that keeps growing every time the business grows.
- Monthly POS subscription range, per outlet, in Indonesia
- Rp50K–999K
- Monthly cost to host your own website, no per-outlet fee
- Rp139K
- A website you own, instead of renting it again every month
- Build once
Wrapping up
This doesn't mean every business should rush to build a website and cancel every subscription, needs differ. But if you feel like subscription costs have piled up for something that's actually the face of your business to customers, it's worth recalculating: keep renting forever, or own it once and maintain it yourself.
